Financial Policies
Protected Vendors include League-voted Vendors, TYFA Partners, and ISDs. (Currently GameBreaker and any ISD)
Tenure is recognition of an organization's long-term loyalty to TYFA, granting a discount on the Base Annual Dues based on their during of membership.
The base rate for Annual Dues is determined by the year an organization joins TYFA.
This base amount may be reduced by the organization’s Tenure (if applicable) to establish the final dues owed.
The minimum amount that an organization will pay for Annual Dues cannot fall below $300 due to Tenure.
TYFA will send an invoice detailing the full amount due to each organization. Organizations may pay half before the March Annual Meeting and the remaining balance prior to the June Annual Meeting.
Failure to pay the full Annual Dues on time will result in the organization being placed in "Bad Standing."
The base rate for Annual Dues is locked based on the year of joining. For example, if an organization joins when the Annual Dues is $500, this amount remains their base rate, regardless of future increases.
If an organization leaves TYFA for over a year and then returns, their base rate will revert to the current "new organization" rate.
In cases where TYFA increases the base rate (e.g., from $500 to $750), this change will only apply to new organizations joining. Existing organizations will be subject to a percentage-based increase applied to their current base rate.
For example, an organization with a $500 base rate and a 10% increase would owe $550, while an organization with a $750 base rate would owe $825.
Organizations that show long-term loyalty to TYFA are eligible for Tenure, starting after 10 years of membership. As Tenure increases, the organization’s Annual Dues will decrease.
The number of years used to determine Tenure is calculated as follows:
(Current Year - Year of Joining) + 1 (for the first season played) - Years Away (if applicable).
Example 1: 2024 - 1998 + 1 = 27 loyal years.
Example 2: 2024 - 2005 + 1 - 1 (for a year away) = 19 loyal years.
If an organization takes a break from TYFA for two or more consecutive years, their Tenure resets to zero, and upon return, they will be required to pay the current base rate without Tenure discounts.
Example: An organization leaving for 3 years with a base rate of $500 returns to a new base rate of $750 and will pay the new rate with no Tenure discount.
Organizations do not lose their Tenure if they change their logo, name, or management, provided TYFA determines that the organization is essentially unchanged.
TYFA reserves the right to deny Tenure on a case-by-case basis if an organization has a pattern of leaving and returning or has acted in a way that negatively impacts TYFA’s image.
An organization or volunteer that fails to pay a fine is considered in Bad Standing and is suspended until the fine is paid. This status carries over from season to season. During suspension, Secondary Medical Insurance claims will not be reviewed.
An organization is also placed in Bad Standing if Annual Dues are not paid in full prior to the first Annual Meeting. Additionally, any unpaid fees or fines to TYFA or Protected Vendors will result in Bad Standing.
Consequences of Bad Standing include:
Loss of voting privileges during meetings
Ineligibility for new insurance policies
Charging of Non-TYFA rates for Spring and 7v7 events
10% monthly late fee on outstanding balances
Possible suspension or revocation of membership
Ineligibility for football playoffs or cheer competitions
TYFA recognizes all member organizations as independently owned and operated entities.
Organizations may be for-profit, non-profit, or operate as a DBA. While incorporation is not required, it is strongly recommended as it provides legal protection.
TYFA will not intervene in an organization’s internal financial matters, such as spending decisions or refunds to parents, unless a Protected Vendor submits an unpaid invoice. Failure to settle such invoices can negatively impact the league and its members' ability to access resources and facilities, as well as harm TYFA’s reputation, which is a violation of the Membership Agreement.
TYFA does set maximum admission fees to standardize costs across the league. For more details, see the Admission Policy.
Unlike other leagues, TYFA does not collect any gate or concession revenue from host organizations. This policy allows member organizations to retain all event proceeds, giving them the financial flexibility to reinvest in their programs and improve their operations. By not imposing additional financial obligations, TYFA supports the autonomy and growth of its member organizations, fostering a stronger partnership and ensuring they remain financially self-sustaining.
If TYFA wishes to enter into a deal that requires Exclusivity for all member organizations, a vote must be made by organization Presidents. If the vote passes, all organizations are required to partake in the Exclusivity. See Voting Policy
Organizations have the right to secure their own as long as it does not conflict with any "League Voted Contract."
Organizations as a whole or any individual team or person may not engage in practices, which might place TYFA in a position of endorsing, or appearing to endorse a commercial product or service.
If an organization deal requires a possible violation of a policy, an Administrative Waiver Request must be put in prior to the violation.

Any violation of this policy will incur consequences based on the severity of the violation.
Referees in San Antonio, Austin and the RGV are on a new 6 year contract.
Game fees went up in 2024 and will go up again in 2026 and 2028.
TYFA will send each hosting organization and the Referees for each site a digital form showing what fees are due at the end of the day.
