Meetings
TYFA organizes a series of key meetings throughout the Calendar year which are outlined in the Seasonal Timelines.
These meetings are critical to the continued success and alignment of our activities, and attendance is mandatory. We provide ample lead time for all meetings to ensure proper preparation and participation. Nonattendance is strongly discouraged, and organizations that fail to attend will be subject to fines for non-compliance. Please note, you are contractually obligated to have a voting member of your organization present at all scheduled meetings.
MAJOR MEETINGS:
Annual Meeting (March): Mandatory, In-Person/Virtual (for members located 6+ hours away)
This meeting is essential for discussing the previous year’s performance, reviewing membership status, financial reports, rule changes, and voting on critical matters impacting the organization.
Spring Season Meeting: Highly Recommended for Participants
This meeting is vital for those actively involved in the spring season and will provide key updates.
Cheer Meetings & Conference: Highly Recommended for Participants
These sessions are particularly relevant for those involved in cheerleading and provide valuable information for the season ahead.
Fall Pre-Season Meeting (June): Mandatory, Virtual
Attendance is required to review certification processes and discuss rule adaptations based on Spring beta testing outcomes.
In the event of any urgent matters, additional meetings may be scheduled under the designation of "Emergency," which will be mandatory and, in most cases, conducted virtually.
Note: Unlike many other leagues, TYFA values your input. As a member, you have the opportunity to suggest rule changes, propose new rules, and actively participate in shaping the future of the organization. We operate on a democratic process, and your voice matters. You have a direct say in what happens within TYFA.
Your full participation in these meetings is essential for maintaining a cohesive and informed organization. Missing meetings not only disrupts progress but also results in financial penalties. It is imperative that you fulfill your contractual obligation to ensure a voting member of your organization is present at every meeting.
MEETINGS
A quorum must be present for business (votes or decisions) to be conducted. 75% of TYFA's league members, or of a chapter's members must be present (no proxy) either in person or virtually to form a quorum.
All members have equal rights, privileges and obligations to participate in a debate and vote as long as they are in "Good Standing."
General Procedure for Handling a Main Motion:
A member must obtain the floor by being recognized by TYFA.
A member needs to raise their hand.
Once recognized by TYFA, they state their organization they are with.
Member makes a motion.
A motion must be seconded by another member before it can be considered. If not, it won't be debated.
If the motion is in order, TYFA will restate the motion and open debate.
The maker of a motion must speak first in debate.
The motion is debated.
Debate is closed when: Discussion has ended.
TYFA restates the motion, and if necessary clarifies the consequences of affirmative and negative votes
TYFA calls for a vote which may digital or old school (roll call etc.). Those who do not vote, allow the decision to be made by those who do vote.
2/3 [rounded up] of the vote is required to win. Example: If 60 present, but only 50 vote. 2/3 of 50 (33.3 rounded to 34) is required to carry the vote.
TYFA announces the result.
General rules of Debate:
All discussion must be relevant to the immediately pending question.
No member should speak more than twice to each debatable motion. The second time takes place after everyone wishing to debate the motion has had an opportunity to speak once.
All remarks should be addressed to TYFA – no cross debate is permitted
Debate must address issues not personalities.
How to do things:
E.g., "I wish to make a motion to discuss the Hiatus."
E.g., "I wish to table the debate until ___________."
E.g., "I move to take a recess for _______."
E.g., "I move to adjourn the meeting."
Note: TYFA does not need a second to bring up an issue for discussion and vote unless they choose to.
I.e., the members cannot shut TYFA down if TYFA brings something up for a vote.
