Organization Pre-Game Checklist
Grace Period: Spring (15 minutes) / Fall (30 minutes). MAXIMUM amount of time available for that game. For pre-game issues like field not properly marked, the grace period starts when the game was to start. Grace period is not per team, but rather for the game. If the grace period is being used, both teams can be fixing issues.
HOST Checklist
During the Week
Fill out the Game Day Information Form so TYFA can schedule your Referees.
Make sure you put any special requests in the comments. If time sensitive, send an email with just the request to HelpDesk@tyfa.com
This is due no later than Close of Business Tuesday before the game. Referees need to be scheduled.
During the Week
Send an email to your opponent as soon as you can and no later than Wednesday by Noon.
Include at a minimum:
the full address to your location
the order of games and the game times
the gate cost
information on outside food and drink
etc.
Keep in mind the distance your opponent may be traveling, especially those traveling 50+ miles and be open minded about any requests they may have. You do not have to give them what they want, but just be openminded as you may need to ask for a favor in the future. Remember this is ultimately for the kids.
If something changes after you communicated with them, contact them asap with the changes.
Include helpdesk@tyfa.com so referees can be adjusted as well.

During the Week
It is your responsibility to communicate with your parents:
How important it is to show up to avoid forfeits (which will cost the organization fines and/or worse).
Inform them that the games will be played in the Heat, Cold, Rain, Saturday, Sunday and some Holidays with little to no exception.
That was on the digital document they signed during certification.
On how important it is to act appropriately and support their child. Inappropriate behavior can get them thrown from the venue, game penalties, or even forfeits.
Tolerance, ignore words, be the bigger person and walk away.
During the Week & Morning of
Your field must be the Correct Size, Correctly Marked, and Safe or you may lose the ability to host. Refer to the Home Game Section
If you do not check your field prior to game day, the Referees will only give you the remainder of the Grace Period to fix any issue. Some issues may not be able to be fixed in that timeframe and will cost forfeits.

Day of
You need to make sure"
Each participating team is on different side of the field. They cannot share the same sideline.
Chains & Down Marker need to be on the Home Team's side regardless of what side of the field it is.
Persons holding the chains and down marker are from the home team only!
Organization will be charged with a Level II violation if the policy is not followed. If #1 or #3 are violated and there is an altercation, the Level of violation will increase to IV.
During the Week & Morning of
Communicate with your Head Coaches about their Checklists. This can help avoid forfeits, suspensions, fines and game penalties.
Main focus is that the volunteers and athletes are within dress code with proper equipment, such as correct footballs, flag helmets and belts, visors etc.
Do they and others on the staff know how to bring up their Volunteer Profile for themselves if asked and the Mandatory Pre-Game Verification of Players/Volunteers.
During the Week & Morning of
Do you have a copy of the Liability Insurance from TYFA for your venue?
Do you have a copy of any waivers you have been granted for the week?
Have you hired media and have they registered with TYFA per policy?
Have you hired a drone pilot, do they have a certificate from the FAA and have they registered with TYFA per policy?
VISITOR Checklist
During the Week
Communicate with TYFA if there are any issues you may have with the upcoming set of games. Send to HelpDesk@tyfa.com as soon as you find the problem.
Communicate in an appropriate manner with your opponent on any requests or concerns you may have. Remember it is their home games. It is not all about you this week. Contact HelpDesk@tyfa.com for possible mediation assistance.
